  • The link to schedule a free initial consultation through Calendly;
  • Cookies, analytics, and similar technologies used on the website; and
  • Communications with us, including emails, form submissions, and call notes.

This Policy applies to the public website only. If you later become a client or enroll in a separate travel-monitoring or trip-support service, additional terms and a separate privacy notice may apply.

We do not collect payments through this website at this time. Travel funds, planning fees, and other payments are handled outside the website. If online payment functionality is added later, we will update this Policy and provide any notices required by applicable law.

2. Information We Collect

A. Contact-form information

When you submit our contact form, we may collect:

  • Your name;
  • Your email address;
  • Your phone number, if you choose to provide it;
  • The inquiry category you select;
  • Your free-text message; and
  • The date and time of your submission.

Available inquiry categories may include:

  • General question;
  • New trip inquiry;
  • Existing booking or trip;
  • Client Emergency;
  • Newsletter sign up.

The "Client Emergency" category flags a message for priority handling. It does not create a guarantee of immediate response or emergency services. The website and Robles Travel Group are not substitutes for emergency services, local authorities, a cruise line, airline, hotel, medical provider, or other official resource.

Please provide only information reasonably needed for us to address your inquiry. Do not submit payment-card information, passwords, government identification numbers, or other unnecessary sensitive information through the contact form.

B. Newsletter information

When you subscribe to the Robles Travel Group traveler newsletter, we collect:

  • Your email address;
  • The date and fact of your consent; and
  • Information needed to manage your subscription and unsubscribe requests.

Newsletter consent is separate from any other consent or request you make through the website.

C. Consultation-booking information

If you schedule a free initial consultation through the Calendly link, Calendly or another scheduling provider may collect information you enter into its scheduling page, including:

  • Your name;
  • Email address;
  • Phone number;
  • Appointment date and time;
  • Time-zone information;
  • Appointment details; and
  • Any notes or information you voluntarily provide.

That information is collected through the scheduling provider and shared with Robles Travel Group so we can schedule and conduct the consultation. The scheduling provider's own privacy policy also applies to its collection and processing practices.

D. Information collected automatically

When you visit the website, we and our service providers may automatically collect:

  • Internet Protocol address;
  • Device type;
  • Browser type and version;
  • Operating system;
  • Referring page or website;
  • Pages viewed;
  • Date, time, and duration of visits;
  • Approximate geographic region derived from an IP address; and
  • Cookie, analytics, and similar technology identifiers.

We do not collect precise device GPS location through the website. We do not use cookies to collect precise location data.

E. Communications

We may retain records of communications with you, including:

  • Emails;
  • Contact-form submissions;
  • Consultation-related messages;
  • Call notes;
  • Scheduling records; and
  • Records of requests concerning privacy or your information.

3. How We Use Information

We may use information to:

  • Respond to questions and inquiries;
  • Provide information you request;
  • Schedule, conduct, and follow up on consultations;
  • Provide travel-planning or booking services after you engage us;
  • Send the traveler newsletter when you have opted in;
  • Process unsubscribe requests and maintain suppression records;
  • Operate, maintain, secure, troubleshoot, and improve the website;
  • Understand website traffic and visitor behavior through analytics;
  • Detect, investigate, and prevent fraud, misuse, unauthorized access, or security incidents;
  • Comply with legal, tax, regulatory, insurance, recordkeeping, and contractual obligations;
  • Establish, exercise, or defend legal claims; and
  • Protect the rights, safety, and property of Robles Travel Group, our clients, visitors, and others.

Marketing consent is elective and separate from consent needed to respond to an inquiry or schedule a consultation. You do not have to subscribe to the newsletter to receive services or a response to an inquiry. You may withdraw newsletter consent at any time by using the unsubscribe link in a newsletter or contacting us.

4. Legal Bases Where Required

For visitors covered by laws that require a statement of legal bases, our legal bases may include:

  • Consent: Sending the traveler newsletter and using non-essential technologies where consent is required;
  • Contract or steps before entering into a contract: Scheduling consultations and responding to service-related requests;
  • Legitimate interests: Operating, securing, troubleshooting, and improving the website; communicating with visitors; preventing misuse; and maintaining business records, provided those interests do not override applicable rights;
  • Legal obligations: Complying with applicable law, regulatory requirements, lawful requests, tax obligations, and recordkeeping duties; and
  • Legal claims: Establishing, exercising, or defending legal rights.

Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect processing that occurred before withdrawal.

5. Cookies and Analytics

Cookies are small files or similar technologies stored on or associated with your device. We may use cookies, pixels, scripts, and related technologies for the following categories:

Strictly necessary technologies

These technologies help the website function, maintain security, remember basic settings, and provide requested features.

Functional technologies

These technologies support enhanced features, preferences, scheduling links, and related website functionality.

Analytics technologies

The website uses Google Analytics to help us understand how visitors use the website, including which pages are viewed, how visitors arrive at the website, and how long they interact with it.

We do not use advertising or marketing cookies for cross-context behavioral advertising at this time. We do not sell personal information or share personal information for cross-context behavioral advertising.

You can control cookies through your browser settings. You may also use the Google Analytics Opt-out Browser Add-on, where available. Disabling cookies may affect certain website features.

6. How We Share Information

We may share information with the following categories of recipients:

Service providers

Service providers may process information on our behalf for purposes such as:

  • Website hosting and website-platform services;
  • Email newsletter delivery;
  • Appointment scheduling;
  • Analytics;
  • Information technology and security;
  • Communications and business administration; and
  • Legal, accounting, insurance, and other professional advice.

These providers are expected to use information only as needed to provide services to us or as otherwise permitted by law.

Travel suppliers

If you engage Robles Travel Group as a client, we may share information with airlines, cruise lines, hotels, tour operators, transportation providers, insurance providers, and other travel suppliers when reasonably necessary to research, arrange, ticket, service, or administer your travel.

We do not share information with travel suppliers merely because you visit the website or submit a general inquiry. Supplier sharing generally occurs only after you engage us and request travel services.

Legal, safety, and protection purposes

We may disclose information when reasonably necessary to:

  • Comply with applicable law, regulation, court order, subpoena, or lawful request;
  • Protect the rights, safety, or property of Robles Travel Group or others;
  • Investigate fraud, security incidents, or misuse;
  • Enforce our terms and agreements; or
  • Establish, exercise, or defend legal claims.

Business transfers

If Robles Travel Group is involved in a merger, sale, reorganization, financing, acquisition, bankruptcy, or other business transfer, information may transfer as part of that transaction, subject to applicable law.

No sale or behavioral advertising

We do not sell personal information. We do not share personal information for cross-context behavioral advertising.

7. Retention of Information

We retain information only for as long as reasonably necessary for the purposes described in this Policy, unless a longer period is required or permitted by law.

  • Contact-form and correspondence records: Retained for as long as needed to respond and for a reasonable business, legal, regulatory, insurance, and recordkeeping period.
  • Newsletter information: Retained until you unsubscribe, the address becomes inactive, or we otherwise determine that continued retention is no longer necessary. We may retain a limited suppression record after unsubscribe so we do not send you future newsletters.
  • Consultation records: Retained for scheduling, follow-up, business administration, and reasonable recordkeeping.
  • Website analytics data: Retained according to Google Analytics configuration.
  • Privacy-rights requests: Retained as reasonably necessary to document, verify, process, and defend the request and our response.

If you enroll in a separate travel-monitoring or trip-support service, trip data is governed by that service's separate privacy notice and terms. Under the current Monitoring Center retention rule, applicable trip data is deleted or de-identified within 30 days after trip completion, unless a different retention period is separately authorized or required by law.

The website privacy policy does not replace the separate Monitoring Center Privacy Notice.

Some rights are not absolute and may be subject to exceptions, including legal, security, recordkeeping, fraud-prevention, and transaction-related exceptions.

An authorized agent may submit a request on your behalf where permitted by law. We may require proof that the agent is authorized to act for you and may independently verify your identity.

9. California Privacy Rights

California residents may have rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act, including the rights to:

Robles Travel Group does not sell personal information and does not share personal information for cross-context behavioral advertising. We do not use sensitive personal information to make inferences about you. If sensitive information is voluntarily included in a message, we use it only as reasonably necessary to address the inquiry, provide requested services, comply with law, or protect rights and safety.

California notice at collection

Where required, Robles Travel Group will provide a notice at or before collecting personal information through a form or other collection point. That notice will describe the categories of personal information collected, the purposes of collection, applicable retention information, and relevant rights.

This Policy is intended to provide the broader privacy disclosures required for the website. The contact form, newsletter form, consultation-booking flow, and any future collection point should be reviewed to confirm that any required California notice at collection appears at or before collection.

  • Restriction of processing;
  • Data portability;
  • Objection to processing;
  • Withdrawal of consent; and
  • The right to lodge a complaint with a supervisory authority.

Depending on the activity, lawful bases may include consent, steps requested before entering into a contract, legitimate interests, and compliance with legal obligations. We will provide additional information about international transfers, representative arrangements, supervisory authorities, and other required matters if those laws apply to our activities.

12. Children's Information

The website and our services are intended for adults. We do not knowingly collect personal information directly from children under 18, or under 16 where a different minimum age applies by law.

If we learn that we have collected personal information directly from a child in a manner prohibited by law, we will take reasonable steps to delete it.
